Human Services Office Manager - 10 Hours Per Week

HUMAN SERVICES OFFICE MANAGER –10 Hours per Week

The Town of Westwood seeks a highly organized, customer-focused professional to serve as Office Manager for the Human Services Department. This is a part-time, 10-hour per week position that plays a central role in supporting the daily operations of the Human Services Department while helping ensure high-quality services for residents across the community.

The Office Manager will also work closely with the Council on Aging Director on daily operations while supporting department-wide initiatives under the direction of the Human Services Director. RESPONSIBILITIES AND DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

• Serves as primary administrative support for the Human Services Department Administration, and provides assistance across multiple Human Services Department service areas, as needed.

• Prepares correspondence, reports, spreadsheets, presentations, databases, and other administrative materials.

• Assists with budget development, financial tracking, account management, and departmental financial operations.

• Processes purchase requisitions, invoices, payment requests, and related financial documentation and supports weekly warrant preparation.

• Maintains payroll records and assists with leave tracking and personnel administration for Human Services and, if needed, Council on Aging (COA) operations.

• Serves as a primary point of contact for residents, community organizations, vendors, volunteers, and Town departments.

• Assists COA staff with day-to-day operations, including room preparation and breakdown for programs, meetings, and events.

• Supports planning and coordination of community programs, special events, public ceremonies, and departmental initiatives.

• Assists with publicity, marketing, and community outreach efforts by utilizing communication tools designed to increase awareness of programs and services.

• Helps maintain and expand the department’s social media and public communications presence using a variety of digital and creative communication platforms.

• Assists with the implementation and ongoing use of program management software and other administrative technology systems.

• Coordinates event logistics, volunteer recruitment, vendor coordination, sponsorship administration, contract processing, and permit requirements.

• Manages scheduling and use of Wentworth Hall meeting and event spaces.

• Maintains confidential personnel, financial and resident information, and exercises sound judgment when handling sensitive matters.

• Performs related duties as assigned.

QUALIFICATIONS AND EXPERIENCE:

  • High school diploma required; Associate's or Bachelor's in Business Administration, Public Administration, Accounting, Office Management, or a related field preferred.
  • Three to five years of progressively responsible administrative, office management, customer service, municipal, nonprofit, financial, communications or related experience.
  • Equivalent combination of education and experience will be considered.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Demonstrated ability to manage competing priorities, work independently, and exercise sound professional judgment.
  • Experience with budgeting, payroll processing and financial recordkeeping functions.
  • Experience with social media platforms, electronic communications, design or marketing applications, or related technologies is desirable.
  • Excellent customer service, interpersonal, and communication skills.
  • Demonstrated ability to work effectively with older adults, community members, volunteers, and staff.
  • Proficiency with Microsoft Office applications and modern administrative software systems.
  • Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.

COMPENSATION:

  • Salary Range: $33.70 - $43.02 per hour in 10 steps. This is a 10-hour per week, non-benefit position in the SEIU Clerical Union.
